Airbnb Extra Guests: Occupancy Rules and What Hosts Can Do

Airbnb Extra Guests: Occupancy Rules and What Hosts Can Do

Sep 13, 2026

A guest books your holiday rental for three people.

Then five or six arrive.

For many hosts, this is not simply irritating. It can affect pricing, property rules, neighbour relations, safety, insurance and — depending on the property — legal or licensing limits.

Airbnb’s own guidance says guests should be truthful about the number of people coming and respect the approved guest count. If a guest wants to bring additional people, they should ask the host first. Some hosts can accommodate a larger group through a reservation change, while others have strict capacity limits and cannot accept additional guests.

That means “just let them stay” is not always an appropriate answer.

The right response depends on whether the property can safely and legally accommodate the extra people.

Why Extra Guests Are More Than a House-Rule Problem

It is tempting to treat this as:

“They broke the rules.”

But maximum occupancy can exist for reasons far beyond preference.

Depending on the property, guest limits may relate to:

  • fire-safety arrangements
  • available sleeping accommodation
  • local licensing or registration conditions
  • building or lease restrictions
  • insurance terms
  • public-liability considerations
  • septic or utility capacity
  • neighbour and community rules
  • platform listing limits

In England, official government guidance says self-catering holiday accommodation must follow appropriate fire-safety guidance, and dedicated holiday-let insurance, public-liability cover and suitable buildings/contents insurance are recommended.

That does not mean every additional guest automatically invalidates an insurance policy.

Insurance terms vary.

But it does mean hosts should understand the occupancy conditions attached to their own property, insurer and local rules rather than assuming extra guests are harmless.

What Airbnb Says About Extra Guests

Airbnb is clear that guests should respect the approved number of guests.

If a guest wants to bring additional people, Airbnb says they should contact the host and reach an agreement before those people arrive.

For hosts, Airbnb gives two basic options.

If You Can Accommodate the Larger Group

You can send a trip change to update the guest count and, where applicable, the price.

Airbnb says the total cost may change depending on the host’s pricing policy, including any extra-guest fee. The reservation is only updated after the host approves the change.

If You Cannot Accommodate Them

Airbnb says hosts can tell the guest that the property is not suitable for the larger group and ask them to cancel. Hosts can also contact Airbnb if they are having difficulty resolving the situation.

That distinction is important.

Extra guests are not simply a pricing question.

The first question is:

Can this property actually accommodate them?

How Do Airbnb Occupancy Rules Apply to Extra Guests?

When extra guests arrive, hosts need to distinguish between two different numbers:

  1. the approved guest count on the reservation; and

  2. the property’s maximum occupancy.

These are not necessarily the same.

For example, a property may have a maximum occupancy of six, while a particular reservation has been made for four guests. The remaining capacity does not automatically allow the booking guest to bring two additional people. Until the host approves a change and the reservation is updated, the approved guest count remains four.

Airbnb says guests should ask the host before bringing people who were not included in the original booking. Some hosts may be able to accept the additional guests, while others may have a strict capacity limit that cannot be exceeded.

When the Extra Guests Remain Within Maximum Occupancy

If the property can safely and legally accommodate the larger group, the host may choose to approve the additional guests.

The guest count should then be corrected through Airbnb’s Change reservation process. The revised price may include an extra-guest fee if one was already established for the listing.

The extra people should not be treated as approved simply because the property has enough beds or because the guest offers to pay separately.

When the Extra Guests Exceed Maximum Occupancy

If the total number of people would exceed the property’s genuine maximum occupancy, the host should not approve the change merely by charging an additional fee.

The limit may be connected to:

  • sleeping capacity

  • fire-safety arrangements

  • licensing or registration conditions

  • building or lease rules

  • insurance requirements

  • local occupancy regulations

In that situation, the host should explain through the Airbnb message thread that the additional people cannot stay and contact Airbnb Support if the guest refuses to correct the situation.

Do Children Count Towards Occupancy?

Airbnb’s current guidance says children are subject to the host’s maximum guest capacity. A host can therefore decline a reservation if the total number of guests, including children, exceeds the property’s maximum capacity.

Hosts should also check how infants are treated under the local fire-safety, licensing, building and insurance requirements applying to their property.

What About Daytime Visitors?

Maximum overnight occupancy and visitor rules are not always identical.

A property may permit a limited number of daytime visitors while restricting who can stay overnight. Other properties may prohibit unregistered visitors because of building rules, shared facilities, parking, safety or local regulations.

The listing and house rules should explain the difference clearly. Whatever policy applies, it should be communicated before arrival and enforced consistently.

What About Vrbo?

Vrbo also allows hosts to set a maximum number of overnight guests, including adults and children, as part of the property’s house rules.

Vrbo’s disruptive-event policy also specifically refers to events that violate:

  • the host’s house rules
  • occupancy limits
  • applicable local laws
  • safe gathering limits

Vrbo says hosts are expected to take action when a property becomes a nuisance or is used for an unauthorised or disruptive event.

Vrbo also allows the number of guests to be updated on an in-stay reservation, subject to the property’s rules and system constraints.

So across major platforms, the principle is similar:

The number of guests on the reservation matters.

What Should a Host Do When Extra Guests Arrive?

The safest approach is to deal with the situation systematically.

1. Confirm What Has Actually Happened

Before accusing the guest, confirm the situation.

For example:

  • Are these overnight guests?
  • Are they temporary visitors?
  • Is the reservation genuinely for fewer people?
  • Has the guest already submitted a change request?
  • Is there another explanation?

Avoid jumping straight to confrontation.

2. Check Your Maximum Occupancy

Before deciding what to do, check the property’s actual limit.

Ask:

  • What maximum occupancy is stated on the listing?
  • How many sleeping spaces are available?
  • Are there licence or local-authority limits?
  • Does the insurer specify occupancy conditions?
  • Does the fire-risk assessment assume a certain number of guests?
  • Are there building or lease restrictions?

This matters because there is a major difference between:

“I prefer only four guests.”

and:

“This property is only permitted or insured for four guests.”

If you are unsure, check your own insurer, local authority and relevant property documents.

3. Keep Communication on the Booking Platform

Where possible, communicate through Airbnb, Vrbo or the platform used for the booking.

This gives you a written record.

Keep the message factual and calm.

For example:

Hello [Guest Name],

Your reservation is currently confirmed for [number] guests, but it appears that [number] people may be staying at the property.

Please confirm the total number of overnight guests, including adults and children, through this Airbnb message thread.

The property has a maximum occupancy of [number] guests.

[If the additional guests can be accommodated: Once you confirm the correct number, I can send a reservation change for your approval. The additional guests will only be authorised once that change has been accepted.]

[If the property cannot accommodate them: Unfortunately, the property cannot accommodate more than [number] guests because of [maximum occupancy/licensing/safety/insurance requirements]. The additional people therefore cannot stay at the property.]

Please reply by [time] so we can resolve this through the reservation correctly. If we cannot resolve it, I will need to contact Airbnb Support for assistance.

Thank you,
[Host Name]

Avoid emotional language or accusations. Delete whichever bracketed outcome does not apply before sending.

4. Decide Whether the Extra Guests Can Be Accepted

There are really only two paths.

Option A — They Can Stay

If the property can safely and legally accommodate the larger group, you may decide to accept the additional guests.

Use the platform’s reservation-change process.

Do not rely on an informal:

“Just send me £50.”

Airbnb allows guest numbers and pricing to be updated through a trip change, and Vrbo also provides reservation-editing tools.

This keeps the reservation record accurate.

Option B — They Cannot Stay

If the property cannot accommodate them, tell the guest clearly that the additional people cannot remain.

Possible reasons may include:

  • maximum occupancy
  • safety
  • licensing
  • insurance
  • building rules
  • sleeping capacity

If necessary, escalate to the booking platform.

5. Do Not Exceed a Genuine Safety or Legal Limit

This is one of the most important points.

If your property is only suitable or authorised for a certain number of occupants, do not simply increase the booking because the guest is willing to pay.

More money does not override:

  • fire-safety limits
  • licensing conditions
  • insurance terms
  • planning restrictions
  • lease conditions
  • safe sleeping capacity

The correct number is not necessarily the number the guest is willing to pay for.

6. Document the Situation

Keep a simple record of:

  • number of guests originally booked
  • number apparently staying
  • date and time
  • messages sent
  • guest response
  • platform support contact
  • any damage, noise or other issue
  • how the situation was resolved

Do not collect or retain unnecessary personal data.

The purpose is simply to preserve the facts of the incident.

7. Contact the Platform if the Guest Refuses to Cooperate

If the guest refuses to correct the reservation or remove unauthorised occupants, use the platform’s support process.

Airbnb explicitly tells hosts to contact them if they are having difficulty changing or cancelling a reservation because of extra guests.

Do not put yourself in a dangerous situation by attempting to physically remove people.

If there is an immediate safety or emergency issue, follow the appropriate local emergency process.

Should Hosts Charge an Extra Guest Fee?

An extra guest fee can make sense where the property genuinely allows larger groups.

Airbnb lets hosts specify how many guests are included before an extra guest fee applies. If the guest count changes on an existing reservation, the host can send a trip change to adjust the price.

But an extra guest fee should not be used to legitimise occupancy above the property’s permitted limit.

For example:

Property maximum capacity: 6

Reservation: 4 guests

Guest wants to add 2 more

→ potentially acceptable, if approved.

But:

Property maximum capacity: 6

Reservation: 6 guests

Guest arrives with 9

→ an extra fee does not make a nine-person stay appropriate if the property is only approved for six.

Overnight Guests vs Visitors

Hosts should also distinguish between overnight guests and daytime visitors.

Some properties allow visitors but limit overnight occupancy.

Others prohibit unregistered visitors entirely.

This may depend on:

  • building rules
  • parking capacity
  • shared facilities
  • neighbour agreements
  • local regulation
  • safety considerations

Vrbo, for example, distinguishes between maximum overnight guests and rules around events or visitors.

Whatever your policy is, make it clear before booking.

Can House Rules Prevent This?

They can help — but they cannot prevent deliberate rule-breaking.

A clear rule might say:

Only guests included in the confirmed reservation may stay overnight at the property. Please contact us before inviting additional overnight guests.

That gives the guest clear expectations.

But if someone knowingly ignores the rule, the problem moves from communication to enforcement.

That is why house rules should be seen as part of the system, not the entire solution.

For help structuring rules clearly, see Airbnb House Rules Examples: What to Include in Your Holiday Rental.

What Should Hosts Put in Their Listing?

Keep the occupancy wording simple.

A useful listing may clearly state:

Maximum occupancy: 4 guests

and, where appropriate:

Only guests included in the confirmed reservation may stay overnight. Please contact us before adding additional guests.

If there are reasons the limit cannot be exceeded, you do not need to publish your entire insurance policy or fire-risk assessment.

Simply make the maximum occupancy clear.

An in-property reminder can reinforce the same expectations after arrival. The editable Airbnb House Rules Sign Template can be personalised with your overnight-guest and visitor rules, but it should support—not replace—the information provided in the listing and confirmed reservation.

Insurance and Extra Guests

This area needs careful wording because insurance policies differ.

Do not assume:

“One extra guest automatically cancels my insurance.”

That may not be true.

Instead, check:

  • maximum occupancy stated in the policy
  • whether guest numbers must match declared capacity
  • whether parties/events are excluded
  • public-liability limits
  • any conditions relating to short-term letting
  • insurer notification requirements

UK government guidance recommends appropriate dedicated holiday-let insurance and public-liability cover for short-term holiday accommodation.

If you are unsure whether additional occupants affect your cover, ask your insurer or broker directly.

Fire Safety and Occupancy

Occupancy may also matter for fire safety.

In England, different fire-safety guidance applies depending on the size and complexity of paying guest accommodation. GOV.UK specifically directs smaller properties accommodating no more than 10 people over no more than two floors to dedicated small-accommodation guidance, while larger or more complex premises fall under broader sleeping-accommodation guidance.

The important practical point is:

Hosts should understand how many people their property is designed and assessed to accommodate.

An extra person may sound minor, but the limit may reflect escape arrangements, bedroom use and fire-safety planning.

What If the Guest Says, “They’re Just Visiting”?

Do not assume every visitor is secretly an overnight guest.

Ask for clarification.

If visitors are allowed under your rules and there is no safety or nuisance issue, there may be nothing to resolve.

If visitors are restricted, explain the relevant rule calmly.

If the number of people creates a party, parking, noise or safety problem, the situation may need escalation regardless of whether everyone intends to sleep at the property.

What If You Discover the Extra Guests After Check-Out?

Document what you can reasonably establish.

Possible next steps may include:

  • reviewing platform messages
  • recording additional cleaning or damage
  • using the platform’s resolution process where appropriate
  • reporting serious rule violations
  • reviewing whether your listing wording needs improvement

Avoid charging guests outside the platform without following the platform’s permitted process.

Can Cameras Be Used to Monitor Guest Numbers?

Hosts should be extremely careful here.

Platform rules and privacy laws govern security cameras and monitoring devices.

Do not install hidden cameras or use surveillance in prohibited areas.

If you use permitted exterior security devices, make sure they comply with the booking platform’s disclosure rules and applicable privacy law.

The objective should be property security, not intrusive guest monitoring.

How Can Hosts Reduce the Risk of Unauthorised Extra Guests?

Nothing guarantees compliance, but you can reduce ambiguity.

Make Maximum Occupancy Obvious

Do not bury it in a long paragraph.

State That Additional Overnight Guests Require Approval

A short rule is enough.

Keep Reservation Guest Count Accurate

Encourage guests to update the booking before arrival.

Confirming the approved guest count before arrival can also form part of your Airbnb check-in instructions, alongside the arrival time, access details and host contact information.

Use Platform Messaging

This creates a clear written record.

Avoid Contradictory Information

Your listing, house rules, guest guide and messages should all describe occupancy consistently.

Know Your Own Limits

Hosts should understand the maximum number permitted by their property, insurer and applicable rules before a problem occurs.

A Simple Response Process

When extra guests appear unexpectedly, use:

CONFIRM

Establish how many people are actually staying.

CHECK

Confirm maximum occupancy and any relevant restrictions.

MESSAGE

Contact the guest through the platform.

DECIDE

Can the extra guests legally and safely be accommodated?

UPDATE

If yes, use the proper reservation-change process.

REQUIRE

If no, tell the guest the additional people cannot stay.

DOCUMENT

Keep a clear record.

ESCALATE

Contact the booking platform if the issue is not resolved.

This is much more useful than arguing at the front door.

Common Mistakes Hosts Make

Treating It Only as an Extra-Payment Issue

The property may not be able to accept additional occupants at any price.

Confronting Guests Aggressively

Keep communication calm and documented.

Accepting Cash Informally

Use the platform’s reservation-change process where available.

Not Knowing the Property’s Real Maximum Occupancy

The maximum should be established before a problem occurs.

Assuming House Rules Will Stop Everyone

Clear rules help good guests understand expectations. They do not guarantee deliberate non-compliance will never happen.

Claiming Insurance Is Automatically Invalid

Check the actual policy rather than making assumptions.

Frequently Asked Questions

What should I do if an Airbnb guest brings extra people?

Confirm the number of people staying, check whether your property can accommodate them, contact the guest through Airbnb and either update the reservation if appropriate or tell them the property cannot accept the larger group. Airbnb says hosts can contact support if they cannot resolve an extra-guest issue.

Can Airbnb guests bring extra people without telling the host?

Airbnb says guests should respect the approved guest count and ask the host before bringing additional people.

Can I charge for extra Airbnb guests?

Airbnb allows hosts to set an extra guest fee and to adjust an existing reservation through a trip change where appropriate.

Can I refuse extra guests?

If your property cannot accommodate the larger group, Airbnb says you can tell the guest it is not suitable for their group.

Does Vrbo allow hosts to set a maximum number of guests?

Yes. Vrbo includes maximum overnight guests as one of its predefined house rules.

Can too many guests affect holiday-let insurance?

Possibly, depending on the policy. Hosts should check the maximum occupancy and other conditions in their own insurance documents. Do not assume every policy responds in the same way.

Is maximum occupancy a legal limit?

Sometimes it can be connected to licensing, fire safety, planning, building rules or other regulation, but requirements vary by location and property. Check your local authority and relevant property documentation.

Should all guests be added to the reservation?

The guest count should accurately reflect the booking. Airbnb provides a formal process for changing the number of guests on a reservation.

What if the guest refuses to remove extra people?

Keep communication documented and contact the booking platform for assistance. Avoid putting yourself at risk through physical confrontation.

House Rules Matter — But They Are Not the Whole Solution

Unauthorised extra guests are a good example of a hosting problem that cannot be solved simply by adding another sign or writing a stricter sentence.

A clear rule is still important.

It establishes the agreed occupancy and gives both host and guest something concrete to refer to.

But the host also needs to know:

what the property can safely accommodate → what the platform allows → what the insurer requires → what local rules permit → what to do when someone ignores the booking

The practical response is therefore:

clear occupancy → documented communication → proper reservation change where allowed → platform escalation where necessary

rather than trying to solve deliberate non-compliance with more paperwork.

Note: Platform policies, local occupancy rules and insurance terms can change and vary by property. Always check your current booking-platform terms, local authority requirements and your own insurance policy before making decisions about maximum occupancy or extra guests.
