Holiday Rental Inventory & Restock System
Know what your property should contain, what is currently available and what needs attention before the next guest arrives.
The Holiday Rental Inventory & Restock System is a professionally designed Google Sheets template for Airbnb hosts, holiday rental owners and small property managers who want a more organised way to manage property contents and supplies.
Seven connected tabs bring together your durable inventory, consumable stock, linen quantities, missing or damaged items, replacement actions and supplier information. Built-in formulas calculate what needs to be purchased and bring key alerts together on a central Dashboard.
Instead of relying on memory, handwritten notes or separate lists, you can establish a repeatable stocktake and restocking process tailored to your property.
One Organised System for Property Stock and Contents
Managing a holiday rental involves keeping track of two different areas: the durable items that should remain at the property and the consumable supplies that must be replenished regularly.
The Property Inventory records furniture, equipment and essential contents, while the Restocking Tracker monitors supplies such as toiletries, kitchen essentials, laundry products and cleaning consumables.
Separate tabs help you monitor linen circulation, record missing or damaged items and save preferred supplier information. The Dashboard then summarises the entries that require attention, helping you decide what should be checked, reordered or replaced.
This makes the system a useful companion to an Airbnb turnover checklist, particularly when you need to confirm that supplies and essential property items are ready for the next stay.
A Working Operational System
This is more than a single printable inventory list.
The template is designed to become part of your ongoing property operations. After setting your expected quantities, standard stock levels and reorder points, you can return to the spreadsheet during each stocktake and update the relevant quantities.
The formulas already included in the system then:
- Identify inventory items that need checking or replacing
- Calculate the quantity of consumable stock to purchase
- Flag supplies that have reached their reorder point
- Identify linen shortages
- Count unresolved missing or damaged items
- Summarise important alerts on the Dashboard
The system does not place orders or update quantities independently. Its calculations are based on the information you enter into the connected tabs.
Key Benefits
- See what needs restocking: Identify consumable supplies that have reached or fallen below their chosen reorder point.
- Maintain consistent quantities: Set a standard quantity for each supply so restocking decisions are based on an agreed property standard.
- Organise property contents: Record the durable items and equipment that should be available throughout the accommodation.
- Reduce forgotten purchases: Calculate the quantity required to restore supplies to their standard levels.
- Monitor linen circulation: Track linen and towels that are in use, stored as clean spares, in the laundry or damaged.
- Identify usable linen shortages: Compare usable stock against your chosen minimum requirement.
- Record losses and damage: Keep unresolved missing or damaged items visible until the required action has been completed.
- Keep supplier information together: Save supplier names, product references, purchase links, pack sizes and manually recorded prices.
- Support remote property management: Give yourself a clearer overview when cleaning and restocking are completed by another person or team.
- Create a repeatable process: Follow the same stocktake, review and restocking workflow each time.
- Reduce reliance on memory: Replace scattered notes and separate lists with one structured operational spreadsheet.
- Review priorities quickly: Use the Dashboard to see the areas currently requiring attention.

The example entries provide a practical starting point. Every property is different, so the inventory, supplies, quantities, reorder points and procedures should be reviewed and customised before use.
The Seven Tabs
1. Start Here
The Start Here tab explains the complete inventory and restocking workflow:
- Customise the property inventory
- Set standard quantities and reorder points
- Complete a stocktake
- Track linen and towels
- Record losses and damage
- Save supplier information
- Review the Dashboard
It also explains the difference between a standard quantity—sometimes called a par level—and a reorder point.
For example, if you normally want 12 toilet rolls available and want to reorder when only six remain:
- Standard Quantity: 12
- Reorder Point: 6
This distinction allows the spreadsheet to identify when stock needs ordering and calculate how much is required to return it to your chosen standard.
2. Property Inventory
The Property Inventory tab records durable contents, equipment and essential items that should remain available at the property.
Columns include:
- Category
- Item
- Expected Quantity
- Actual Quantity
- Condition
- Action
- Last Checked
- Notes
The Action column uses the quantities and condition entered to display an appropriate status:
- OK
- CHECK
- REPLACE
The supplied inventory contains practical example items organised by property area. You can edit, add or remove entries so the list accurately reflects your accommodation.
3. Restocking Tracker
The Restocking Tracker monitors consumable supplies and calculates what should be purchased.
Columns include:
- Category
- Item
- Storage Location
- Standard Quantity
- Current Quantity
- Reorder Point
- Quantity to Buy
- Status
- Last Checked
- Notes
The built-in formulas:
- Calculate the Quantity to Buy
- Display REORDER when the current quantity reaches or falls below the reorder point
- Display OK when stock remains above the reorder point
- Send the relevant totals and alerts to the Dashboard
Example entries cover kitchen, bathroom, laundry, cleaning and guest consumables. These can be adapted to match the products and quantities used at your property.
4. Linen & Towels
The Linen & Towels tab helps you monitor availability, circulation and shortages.
Columns include:
- Type or Size
- Item
- In Use
- Clean Spare
- In Laundry
- Damaged
- Total Owned
- Minimum Required
- Status
- Notes
The spreadsheet automatically:
- Calculates the total quantity owned
- Accounts for damaged items when assessing usable stock
- Displays LOW when usable stock falls below the minimum required
- Displays OK when sufficient usable stock is available
- Sends the number of linen alerts to the Dashboard
Use it for fitted sheets, duvet covers, pillowcases, mattress and pillow protectors, bath towels, hand towels, face cloths or other property-specific linen.
5. Replacement & Damage
The Replacement & Damage tab records missing, damaged or poor-condition items that require follow-up.
Columns include:
- Date
- Item
- Room or Area
- Issue Type
- Details
- Action Needed
- Estimated Cost
- Resolved?
- Resolved Date
- Notes
This creates a clear operational record of what happened, which action is required, the estimated replacement cost and whether the matter has been resolved.
Unresolved missing or damaged items are counted on the Dashboard. For broader property repairs and recurring checks, use this system alongside the Holiday Rental Property Maintenance Log & Planner.
This tab is intended for internal organisation. It is not a legal damage report, insurance record or guest-charging system.
6. Suppliers
The Suppliers tab stores preferred supplier and purchasing information so regularly used products are easier to identify.
Columns include:
- Category
- Item
- Supplier
- Product or SKU
- Purchase Link
- Pack Size
- Unit Cost
- Last Price Check
- Notes
Use it to record which products you normally purchase, where you purchase them, the appropriate pack size and the price recorded during your last check.
Supplier prices and product availability must be checked and updated manually. The spreadsheet does not connect to suppliers or retrieve live pricing information.
7. Dashboard
The Dashboard provides an at-a-glance summary of the property’s current inventory and restocking position.
It includes:
- Property Name
- Last Stocktake
- Low Stock Items
- Total Quantity to Buy
- Linen Alerts
- Open Damage or Missing Items
- Inventory Items to Check
The displayed workflow is:
Check → Update Quantities → Review Dashboard → Reorder or Replace
The Dashboard draws information from the connected working tabs. It reflects the information you have entered; it does not independently update stock or place orders.
How It Works
Step 1: Create Your Copy
Open the supplied Google Sheets template link and create your own editable copy in your Google account.
Step 2: Customise the System
Review the example inventory and consumable lists. Edit, add or remove items so the spreadsheet reflects your property, amenities and operational requirements.
Step 3: Set Your Standards
Enter the expected quantities for durable inventory, standard quantities for consumables, reorder points and minimum usable linen levels.
Step 4: Complete a Stocktake
Count the items currently available and enter the relevant quantities, condition information and last-checked dates.
Step 5: Review the Calculations
Use the calculated statuses and Quantity to Buy fields to identify stock shortages, inventory concerns and linen alerts.
Step 6: Record Follow-Up
Add missing or damaged items to the Replacement & Damage tab and consult the Suppliers tab when purchasing replacements or consumables.
Step 7: Check the Dashboard
Review the Dashboard for a concise overview of the entries that currently require attention.
Repeat the process at intervals appropriate for your property and booking schedule.

Important Digital-Product Information
This is a digital product. No physical spreadsheet, printed inventory, binder or other item will be delivered.
A Google account is required to create and edit your own copy. No additional software installation or Practical Editions subscription is required.
The template is fully customisable, but care should be taken when changing or deleting cells containing formulas. Altering formula cells may affect calculations, statuses or Dashboard totals.
The spreadsheet does not monitor the property independently. Quantities, conditions, dates, prices, supplier details and resolved statuses must be entered and kept current by the customer.
The template is an organisational resource. It is not accounting software, inventory-valuation software, a property-management platform, a legal record, an insurance document or a system for charging guests.
Frequently Asked Questions
What is the Holiday Rental Inventory & Restock System?
It is a seven-tab Google Sheets template that helps holiday rental hosts organise property contents, consumable stock, linen quantities, missing or damaged items, replacement actions and supplier information.
Is this an inventory-management app?
No. It is an editable Google Sheets template. It does not require software installation and should not be treated as a dedicated inventory-management application or property-management platform.
How many tabs are included?
The system contains seven connected tabs: Start Here, Property Inventory, Restocking Tracker, Linen & Towels, Replacement & Damage, Suppliers and Dashboard.
Do I need a Google account?
Yes. You need access to a Google account to create and edit your own copy of the spreadsheet.
Do I need to install any software?
No. The system is used through Google Sheets. You do not need to install specialist inventory software or pay a Practical Editions subscription.
Are the formulas already included?
Yes. The formulas used for status calculations, quantities to buy, linen alerts and Dashboard summaries are already included.
Do I need to understand spreadsheet formulas?
You do not need to create the supplied formulas yourself. However, avoid deleting or overwriting formula cells because this may affect the system’s calculations.
Does it automatically update my stock?
No. You or a member of your property team must enter the current quantities and relevant information. The spreadsheet then uses those entries to calculate statuses and Dashboard totals.
Does it automatically order supplies?
No. The spreadsheet identifies supplies that have reached their reorder point and calculates a suggested Quantity to Buy. It does not place orders or communicate with suppliers.
Do supplier prices update automatically?
No. Prices, purchase links, availability information and last-price-check dates are entered and updated manually.
Does it integrate with Airbnb, Vrbo or Booking.com?
No. The spreadsheet does not connect to booking platforms or property-management systems.
What is the difference between a standard quantity and a reorder point?
The standard quantity is the amount you normally want available after restocking. The reorder point is the quantity at which you want the spreadsheet to flag that more stock should be purchased.
For example, you may set a standard quantity of 12 toilet rolls and a reorder point of six. When current stock reaches six or fewer, the spreadsheet displays REORDER and calculates how many are needed to return to 12.
What does the Property Inventory track?
It tracks durable property contents and equipment, including the expected and actual quantities, condition, required action, last-checked date and notes.
What does the Restocking Tracker calculate?
It calculates the quantity required to return a consumable item to its standard level. It also displays REORDER or OK according to the current quantity and selected reorder point.
How does the linen tracker work?
Enter the quantities in use, stored as clean spares, in the laundry and damaged. The spreadsheet calculates the total owned and assesses usable stock against the minimum quantity required.
Does the Damage & Replacement tab charge guests?
No. It is an internal operational record only. It does not communicate with guests, process charges, submit claims or create legal or insurance documentation.
Can I customise the example items?
Yes. The supplied inventory and consumable entries are intended as a practical starting point. You can edit, add or remove items and categories to suit your property.
Can I use it for more than one property?
The system contains one property-level Dashboard rather than a combined multi-property Dashboard. If permitted by your purchase licence, the practical approach is to maintain a separate customised copy for each property.
Can my cleaner update it?
You may choose to share access to your copy with a cleaner, co-host or team member according to your own Google sharing settings and the applicable product licence. Shared editing is a standard Google Sheets function rather than a special feature of this product.
Is it compatible with Microsoft Excel?
Excel compatibility has not been confirmed. The product is designed and supplied for use in Google Sheets.
Is this a cleaning checklist?
No. It manages inventory, stock, linen availability, damage and purchasing information. For room-by-room turnover tasks, use the Holiday Rental Cleaning Checklist or Cleaning & Staging Manual.
Does it replace a maintenance system?
No. Although damaged items can be recorded for follow-up, this is not a maintenance tracker or servicing planner.
Will I receive a physical product?
No. This is a digital Google Sheets product. Nothing will be printed or posted.
Where can I find more operational resources?
You can browse the Practical Editions Host Resources collection for complementary planners, manuals and templates for holiday rental hosts.
