The property table supports up to 10 properties. The booking-channel list can include Airbnb, Vrbo, Booking.com, Expedia, Tripadvisor, direct bookings and other sources used by the customer.
Customised dropdown menus make recurring data entry more consistent and reduce the need to type the same property names, channels, statuses and expense categories repeatedly.
The currency setting changes the displayed currency label only. It does not convert currencies or retrieve exchange rates. Customers should choose and use one consistent reporting currency throughout the workbook.
3. Bookings & Income
The Bookings & Income tab records one row for each reservation.
Information can include:

Each reservation should have a unique Booking ID. Discounts and refunds are entered as positive figures and subtracted through the workbook’s calculations.
The supplied example bookings should be cleared or replaced before the workbook is used for real business reporting. Formula columns should not be deleted or overwritten.
4. Expenses
The Expenses tab records one row for each business transaction.
Each expense can be assigned to the appropriate property and category, helping customers understand where money is being spent and how different transactions affect their reports.

5. Availability & Targets
The Availability & Targets tab allows customers to record the nights each property was genuinely available for guests.
Unavailable nights can include:
- Owner-blocked dates
- Maintenance closures
- Other unavailable periods
Accounting for these dates produces a more meaningful occupancy calculation than treating every calendar night as available regardless of whether the property could actually be booked.
Customers can also enter optional monthly targets for measures such as:

Targets are entered manually and are optional. When targets are used, the reporting tabs help customers compare actual results with their own expectations.
The spreadsheet does not recommend nightly prices, automatically create forecasts or supply external market data.

The Monthly Performance tab converts booking, expense and availability entries into a structured month-by-month report.
Customers select a reporting year and can review the whole portfolio or an individual property.

The booking-channel filter applies to booking revenue and booking counts. Because expenses are assigned to properties rather than individual booking channels, expense figures remain property-level results.

Understanding the Main Performance Measures
Available Nights
The number of nights the property was genuinely available to receive bookings after recorded owner blocks, maintenance closures and other unavailable periods are considered.
Occupied Nights
The number of nights associated with qualifying reservations entered into the workbook.
Occupancy
The proportion of available nights that were occupied. This helps show how effectively the property’s available capacity was used.
Number of Bookings
The number of qualifying reservations recorded for the selected period, property or applicable booking-channel filter.
Average Stay
The average number of occupied nights per qualifying booking.
Accommodation Revenue
The recorded income attributable to the accommodation portion of qualifying reservations.
Gross Revenue
The combined booking-related income calculated from the relevant revenue and adjustment fields before recorded booking-channel and payment-processing fees are deducted.
Net Revenue
Revenue remaining after the relevant channel and processing fees recorded in the system have been deducted.
Operating Expenses
The fixed and variable expenses categorised as part of ordinary property operations.
Operating Profit
Net revenue less the recorded operating expenses included in the report.
Operating Margin
Operating profit expressed as a percentage of net revenue. This helps compare profitability across periods or properties of different sizes.
ADR
Average Daily Rate shows the average accommodation revenue generated per occupied night, based on the qualifying information entered into the workbook.
RevPAR
Revenue per Available Room, or RevPAR, relates accommodation revenue to the nights the property was available. It reflects the combined effect of rate and occupancy.
Cash After Capital and Financing
A cash-oriented measure showing what remains after the relevant recorded capital and financing transactions have been applied to operating results.
Target Variance
The difference between a manually entered target and the corresponding calculated result. Targets are optional and are not forecasts or recommendations generated by the spreadsheet.
All calculations depend on the accuracy, consistency and completeness of the information entered by the customer.
How the System Works
Step 1: Create Your Private Copy
Open the supplied template link, sign in to a Google account and create your own copy in Google Drive.
Your copy is separate from the Practical Editions master template. You control your spreadsheet and its sharing settings.
Step 2: Complete the Setup
Enter the business name, reporting currency label, reporting years, properties, booking channels, statuses and expense categories.
Step 3: Remove the Example Data
